CPD Logbook FAQs

 

This page answers common CPD enquiries, including how to download your CPD logbook as an Excel or PDF file, how to change CPD cycles, and tips for adding CPD to your logbook.

Question 1. How do I download my current CPD cycle logbook as an Excel or PDF document? 

Download your CPD activity logbook as a PDF or Excel Document.  

  1. Ensure you are logged into the ADA website   
  2. Select CPD   
  3. Select CPD Logbook from the drop-down menu   

For the current CPD cycle, select either: 

  • Export CPD PDF  
  • Export CPD Excel  

The file will download for your access.  

 

Question 2. How do I change my CPD cycle to access my past data? 

  1. Ensure you are logged into the ADA website   
  2. Select CPD   
  3. Select CPD Logbook from the drop-down menu   
  4. Select Change CPD Cycle 


5. Select the CPD cycle you wish to access.  

The graphic and labels will now reflect the CPD cycle you selected. You may now export this data as a PDF or Excel document. Follow the steps under Question 1 to complete these actions.  

 

Question 3. I am trying to manually enter information into my digital CPD logbook but an error message, ‘something went wrong,’ keeps appearing. What could be happening? 

An entry error is the main reason why a manual entry will not save. Below are tips for adding manual entries to your CPD logbook using the provided template.    

- Ensure all fields are completed.   

- If the drop-down options do not include what you are looking for, select an option that is close to what you want, or select ‘other’, and add the details in the ‘Additional Info’ section.   

When the parameters are added correctly, the template’s save button will appear as grey rather than blue and will not be clickable.   

Question 4. I just completed a multi-day course; how do I add it to my CPD logbook?

Log the started date and time as the first day of your multi-day course, and the completed date and time to reflect your final day. The number of hours and/or minutes can then be entered to reflect the total time spent learning over the multiple day period. 

Question 5. What is CPD In Progress? 

CPD in Progress is a system generated list showing incompletely viewed items from the ADA CPD Portal. Any videos with 3 or more minutes remaining will log within this list. 

The portion of the file that you have already viewed will appear as the Recorded Duration. This time should also be recorded in your CPD logbook.   

How to remove the item from CPD In Progress:  

- Once you finish viewing the item it will be removed from CPD In Progress. This may create a duplicate time in your logbook; however, you can edit the entry within your CPD Logbook. Follow the steps in Question 9 to do so.    

- Email contact@ada.org.au to request the ADA Learning and Development team to remove the items you cannot remove yourself.  

 

Question 6. I have watched a video in the ADA’s CPD Portal, but it has not tracked in my digital CPD logbook.  

Reasons for short time values in your logbook can include: 

  • Pausing or stopping your viewing for a significant amount of time. Even returning after 20 minutes can cause the system to log the first portion that was watched.  
  • Using a mobile phone where micro breaks can occur whilst moving about. 
  • Skipping back and forth through the video or audio file can affect the overall time value.  

 

Reasons recording a time value may not occur at all can include: 

  • The internet browser has not been recently updated.  
  • A stale URL. The ADA’s website URL can go stale if saved as a favourite. This means if ADA edits the website, the saved URL in your ‘Favourites’ does not point to the full functioning ADA Website.    
  • Have you checked too soon? Once the system updates, your automatically generated log will appear. Items will not appear in your digital CPD logbook immediately.  

Question 7. When should I manually add an item to my digital CPD logbook? 

Only items viewed on the ADA’s CPD Portal will automatically log in your digital CPD logbook. All other CPD should be manually added. This can include: 

  • ADA webinars viewed live 
  • ADA Branch CPD online or face-to-face events 
  • Non-ADA CPD courses  
  • Academic reading, such as the Australian Dental Journal.  

If you have viewed an item on the ADA’s CPD Portal and after 48-72 hours, the system has not updated your logbook to reflect your viewing, you may wish to manually add the entry. Please be aware that in periods of increased use, such as prior to the end of the CPD cycle, the automatic tracking may take longer. 

Question 8. My CPD viewing is not showing in my digital CPD logbook.  

Logging of items viewed in the ADA’s CPD Portal: 

  • can take up to 24 hours or more as the system updates.
  • can take up to 10 business days in times of high traffic, such as when the end of the CPD cycle is approaching. 
  • will not automatically log if you have watched the CPD Portal item previously. 
  • may be affected by using a mobile phone - although convenient and easy, when listening, there may be micro-breaks stopping the tracking process. 
  • may not be present as it is stuck in your ‘CPD in progress’ list. There is a cut off time for the item to automatically log, if you are short of this time, the item will remain ‘in progress’.

If you wish to have edits made to your CPD logbook, please articulate the changes you are seeking.  

Question 9. How do I edit my CPD Logbook entries? 

ADA members can now edit their CPD logbook. Manually added CPD and automatically tracked viewing from the ADA’s CPD Portal can be edited. Please only edit automatically tracked items, and do not delete them as the system may regenerate the deleted items.  

To edit: 

1. Ensure you are logged into the ADA website. 

2. Select CPD. 

3. Select CPD Logbook from the drop-down menu.

Click Edit 


You may need to reselect the location from the dropdown menu.

 


The dropdown menu options are listed below.

 

Edit the start and end time to reflect the minutes and/or hours that you spent learning.

Note: sometimes the end time may reflect a time much later than when you stopped viewing an automatically tracked ADA piece. This time may reflect when you closed your browser, rather than when you stopped the video. However, the number of minutes should represent the time you viewed the video.

To edit this record to reflect a thirty-minute viewing period starting at 9:00am, change the start time to 9:00am, the completed time to 9:30am and the number of minutes to 30 minutes.

 


Click save. The entry will now reflect your updates.

Question 10. I have watched an item in the ADA’s CPD Portal, and it has automatically tracked multiple times. How do I fix this?

If you watch a video in segments, even leaving just 20 minutes between viewing sessions can cause the system to track your viewing as multiple data entries representing each segment of time spent viewing.  

Members can now edit their own CPD Logbook (see Question 9); however, we ask that automatically tracked items are not deleted from logbooks as the system may regenerate the entry. 

You should find that the multiple entries equate to your total viewing time. If they do not, edit one of the entries so when added together, the two or more entries equate to your total time spend learning. An entry cannot be edited to have a time value of zero; however, a time value of one minute is possible, therefore one entry could be set to the full time-value while the duplicate sits at one minute. 

At the conclusion of the CPD cycle when you download your CPD Logbook as a PDF, this duplicate entry can be deleted from your spreadsheet.
